A CRM is where your team manages leads and customers. A portal is the outside-facing side, where customers and partners log in to submit requests, upload documents and check status. An app is the same idea on a phone. Many projects are one back-end with a CRM for staff, a portal for customers and, if needed, an app, designed together so data is entered once.
Usually, yes. Bookings, approvals, job tracking, stock and reports are good candidates. We start with the spreadsheet that causes the most pain, replace it first and import its history. AI can then answer questions such as “which jobs are late this week?” from the same data, with each answer linked to the records behind it.

A copilot is a chat or search box inside your software that answers from your own data: orders, documents, policies. It finds the relevant records, writes a short answer and links the source, and it only sees what the person asking is allowed to see. It can draft a reply to a customer, but staff approve that reply before it's sent.
